As Chartered Accountants, gathering of information forms an integral part of our business. In order to perform the services we do, it is essential that we gather as much information as possible.

It has always been our commitment to our clients to ensure the security and confidentiality of this information. The trust that our clients place in us is as valuable and important to us as any asset. Our privacy policy uses the guidelines of The Personal Information Protection and Electronic Documents Act as a minimum standard as we strive to ensure that our clients are comfortable in providing us with the information we require to perform our duties.

Our firm has a confidentiality guideline that goes beyond that which is required of us by our profession and we hold all of our employees and partners to this guideline.

PURPOSES OF GATHERING DATA

Client data (name, address, phone numbers) is gathered and used by our office for contacting our clients as required in the performance of our duties for which we have been engaged.

In the performance of our duties we are required to collect information about our clients as well as their employees, shareholders, partners, creditors and debtors. This information is used solely in the performance of the tasks for which we have been engaged.

On occasion our firm will host events, seminars or other gatherings and may request personal contact information from the attendees. This information is used to provide receipts or follow up information or advise of similar upcoming events.

ACCESS TO INFORMATION

Individuals may make a written request for access to their personal information, the purpose it has or is being used, and persons to whom that information has been disclosed and the circumstances surrounding its disclosure.

INFORMATION DISCLOSURE

The purpose of performing our function is usually to provide an external party (creditor, Canada Revenue Agency, etc) with information. We will not provide information to any party without first receiving consent to do so from our client.

SECURITY

We do not sell, lease, or trade personal information to other parties. We endeavor to ensure strict confidentiality is maintained over personal information. Employees are trained and required to maintain confidentiality over all information used in their positions and comply with this policy.

As well, we endeavor to maintain adequate physical, procedural and technical security for its offices, information storage and destruction, electronic files and on-line systems so as to prevent any unauthorized access, disclosure, copying, use or alteration of an individuals personal information.

Paper-based files are stored in secure operating premises. Electronic files are maintained in a secure environment with restricted access.

The website is protected as necessary, by alphanumeric passwords, physical protection and encryption. The website contains links to other websites. Although we believe the organizations to which links are provided are reputable and have high standards, we are not responsible for the content, actions or polices of these sites.
